Access Management for Data Rooms

The Data Room Access Management feature allows you to control who can view, edit, or manage specific data rooms within your workspace. Here’s a quick guide on how to set it up:

Binder’s Data Room Access Management feature allows you to control who can view, edit, or manage specific data rooms within your workspace. This feature is designed to secure sensitive information by limiting access to authorized users only, promoting efficient collaboration while safeguarding confidential files.

Note: Only Super Admins have full permissions to create top-level data rooms and control data room access settings directly. By carefully managing who has access, you ensure that each team member engages only with the content relevant to their role and responsibilities.

Super Admin Access

Super Admins have unrestricted access to the entire Binder workspace, including all data rooms and their contents. They are responsible for managing user permissions, updating settings, and accessing every document, regardless of individual data room access levels. This role is critical for maintaining comprehensive administrative control over Binder’s platform.

This structured access improves collaboration efficiency while restricting sensitive information visibility to authorized personnel only.

Data Room Access Levels

In Binder, there are three primary levels of access you can assign to users within a data room:

- Edit and Share: Users with this access level can view, share, and modify content in the data room. For example, they can upload files, remove outdated content, and make updates to existing documents. Additionally, they can manage access permissions for others, set access restrictions, and organize folders or files within the data room. This level provides comprehensive control over the data room’s content.

- View and Share Only: Users can view all files within the data room but cannot make any changes to them. They can, however, generate shareable links. For instance, if you want a team to review documents without altering them, this access level is suitable.

- None: Users with this setting won’t see the data room or any of its contents. This level is useful when restricting sensitive data to a specific group, ensuring no unauthorized access.

Setting Up Data Room Access Management

To manage access for data rooms in Binder, follow these steps:

1. Create a Data Room: Go to the Data Rooms page, then click the 'Add Data Room' icon in the top-right corner to create a new space for organizing secure content.

2. Access Data Room Options: Once created, hover over the data room name in the left-hand menu and click the (...) icon to open the Data Room Access Management settings by clicking on 'Manage Access'.

3. Assign Data Room Access: In the Data Room Access Management menu, add users to your workspace by entering their email addresses.

4. Select Access Levels: Choose the user you want to grant data room access to, then use the dropdown (Caret) menu to assign their level of access. Select from Edit and Share, View and Share Only, or None.

5. Save Your Settings: After selecting the desired access levels, click ‘Save’ to apply the permissions. Your data room is now accessible to the selected users with the assigned access levels.

Following these steps ensures that only approved team members can access and interact with content in Binder’s data rooms, supporting secure collaboration while maintaining data integrity and confidentiality.
